BASIC FUNCTIONS

The Administrative Assistant shall be responsible for providing clerical and administrative support to the President/CEO of Catholic Charities of the Roman Catholic Diocese of Syracuse, NY, Inc.

QUALIFICATIONS:

A. EDUCATION:

Minimum of an Associate level degree, Bachelor’s degree preferred,or an equivalent combination of education and experience.

B. EXPERIENCE:

Minimum of five years experience in an executive setting with strong general office management and administrative responsibilities.

C. SKILLS

1) Strong interpersonal skills necessary to interact with a wide variety of people including staff, clientele, and the general public.

2) Must be personable, professional and able to handle people in a courteous manner.

3) Demonstrated ability to communicate verbally and in writing, in an organized and concise manner.

4) Must be highly motivated, able to work independently with good organizational and creative problem solving skills.

5) Must be proficient with computer skills and knowledge to include working with the latest technology and available software programs (ex: Microsoft Word, Excel, Publisher Access, etc.)

2)Job Title:  Payroll Specialist

Supervisor: Payroll Manager

SUMMARY: Performs functions relating to the processing and reporting of lay, religious, and clergy payrolls for the Diocese of Syracuse.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Preparation of the bi-weekly payroll for lay, religious and clergy using the ADP payroll products. This includes gathering and verifying bi-weekly timesheets, keying payroll maintenance, new hires, preparing pay checks for distribution, processing direct deposits, garnishments, and other withholdings.

2. Prepares quarterly billings for unemployment and disability insurance.

3. Verifies quarterly pension billing and monthly health, life, AFLAC, 403B, garnishments and other payroll deductions.

4. Complete NYS Unemployment claim requests.

5. Complete New York State Disability and Workers Compensation forms.

6. Performs all year end processes and verifications in order to produce and distribute W-2 forms.

7. Provides employee salary data for budget forecasting.

8. Performs other related duties as required and assigned.

QUALIFICATION REQUIREMENTS:

EDUCATION AND/OR EXPERIENCE:

Associates Degree in Accounting or equivalent from a two year college; 3-5 years related experience and/or training; or equivalent combination of education and experience. Familiarity with ADP PC Payroll for Windows or ADP Workforce Now as well as report writing. Proficient in Microsoft Excel and Word. Experience working with HR system helpful.

5) Job Title: Diocesan Liaison to the Catholic Deaf Ministry

SUMMARY: Serves the needs of a group of individuals with their own language, culture, and traditions by providing strong leadership by an individual who is able to communicate in the language and is sensitive to the cultural mindset of Deaf people.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Helps raise awareness in community by educating parishes and people about the rights of deaf, the need for interpreters an accessibility for all, and educating deaf children and deaf parents of hearing children who may be in local parish religious education programs.

2. Plans liturgies in local churches by scheduling interpreters, arranging for special deaf masses with non-signing priests and interpreters, arranging for priest to sign mass, supporting and encouraging plans for local Catholic deaf social gatherings and planning annual mass with the Bishop.

3. Administers Religious Education program by procuring and preparing materials for the religious education program, teaching classes and supporting volunteer teachers, planning adult education classes and home prayer groups and sacramental preparation.

4. Oversees pastoral care issues for deaf by maintaining files of deaf in hospitals, nursing homes, etc., visiting deaf patients when necessary, arranging for priests and interpreters for priests when necessary and arranging for deaf retreat, missions and prayer days.

5. Communicates with Lay Ministry team to handle problems as they arise and set guidelines and limits as necessary. Coordinates team meetings several times a year and facilitates Community Council meetings.

6. Acts as a liaison and maintains relations with pastors at local deaf ministry parish locations, National Deaf ministry, New York State Deaf ministry individuals and keeps involved with International Catholic Deaf Association local chapters.

7. Prepares monthly newsletter.

8. Schedules and facilitates speaking engagements. Plan and execute various fundraising events to benefit the deaf program.

9. Prepares annual budget proposal for Catholic Deaf Ministry. Handles any questions that may arise in subsequent budget and billing matters.

QUALIFICATION REQUIREMENTS:

• Competency in American Sign Language

• Knowledge of deaf culture in U.S.

• Experience in Catholic deaf church activities and a strong sense of confidentiality.
